Booking & Confirmation

How to reserve your helicopter package and what your deposit covers

Deposit & Payment Schedule

A deposit of 50% of the total charter amount is required to confirm your booking. This deposit is non-refundable. The remaining balance must be paid in full at least 20 days before the date of departure.

Payment deadline: Full payment must be received 20 days before the journey date. Bookings with outstanding balances may be cancelled without notice after this deadline.

Passenger Weight Requirement

All passengers must submit their accurate individual body weight at the time of booking. This is a mandatory aviation safety requirement. Inaccurate weight submissions can result in denied boarding without refund.

Recommended Group Sizes

We recommend booking in combinations of 2, 4, or 6 passengers. Seats for 1, 3, or 5 passengers are limited and may not always be guaranteed on the same helicopter.

Fuel Surcharge

A fuel surcharge of INR 4,500 per person applies to all packages. This is dynamic and subject to revision. The confirmed surcharge will be communicated at the time of booking.

Important: The 50% deposit is non-refundable under all circumstances. Cancellation requests must be submitted in writing via email or WhatsApp to our operations team.

Force Majeure

UTS India shall not be liable for cancellations caused by events beyond our control β€” including natural disasters, government restrictions, DGCA/BKTC directives, strikes, or political disturbances. Additional expenses from such events are borne by passengers.

Rescheduling Policy

Conditions and fees for changing your travel dates

Rescheduling with 20+ Days Notice

Bookings may be rescheduled to another available date if the request is received at least 20 days before the original journey date. A rescheduling fee of 10% of the total charter amount applies. Subject to availability.

Rescheduling Within 20 Days

Any request made within 20 days of departure will be treated as a cancellation per the cancellation policy above. A fresh booking must be made at prevailing rates.

Tip: Availability is very limited during peak pilgrimage months (May–June). Request any date changes as early as possible.

UTS India-Initiated Itinerary Changes

UTS India reserves the right to alter flight timings or the sequence of dhams up to one day prior to departure due to weather or operational requirements. No additional charges apply to passengers for such changes.

Refund Policy

When refunds apply and how they are processed

Eligible for Refund

  • Cancellation more than 20 days before journey β€” 50% of total cost refunded
  • Cancellation initiated by UTS India for operational or safety reasons β€” full refund or credit note issued

Not Eligible for Refund

  • Cancellations within 20 days of the journey date
  • No-shows at the helipad on departure day
  • Boarding denial due to weight discrepancy or misrepresentation
  • Boarding denial due to passenger conduct or safety concerns
  • Additional nights or costs incurred due to weather or technical delays
  • Losses arising from natural calamities, government restrictions, or force majeure events

Refund Processing

Approved refunds are processed within 7–14 business days to the original payment method. Processing timelines may vary by bank.

GST & Levies: GST (18% on service charges), government royalties, and BKTC charges are non-refundable. Any revision in government levies will result in a corresponding adjustment to the payable amount.

Weight & Passenger Policy

Aviation safety requirements β€” mandatory compliance for all passengers

Maximum Helicopter Capacity

Each helicopter carries a maximum of 6 passengers with a combined total weight limit of 450 kg. This is a non-negotiable aviation safety regulation.

Weight Declaration

All passengers must provide their correct body weight at the time of booking. Weights are verified at the helipad on departure day. Any discrepancy exceeding the helicopter’s safe capacity will result in the passenger being offloaded with no refund.

Zero tolerance: Providing false weight information is a safety violation. Passengers found to have misrepresented their weight will be denied boarding without refund.

Overweight Charges

Passengers weighing more than 75 kg will be charged INR 2,000 per kg for every kg above 75 kg, subject to the total capacity of 450 kg not being exceeded and prior technical team approval.

Luggage Policy

Strict allowances due to helicopter weight and cabin constraints

Allowance Per Passenger

Each passenger is permitted 5 kg of luggage only. Suitcases, trolley bags, and large travel bags are strictly prohibited inside the helicopter cabin.

Duffle Bags Provided

UTS India provides a duffle bag to every passenger on the day of arrival in Dehradun during the mandatory pre-departure briefing. Only the provided duffle bag will be permitted onboard.

Packing tip: Focus on essentials β€” woollen layers, a raincoat, personal medicines, and comfortable sneakers. Avoid items you won’t need at high-altitude temples.

Excess Luggage

Luggage exceeding 5 kg or not in the provided duffle bag will not be permitted onboard. UTS India is not responsible for storing or securing excess luggage left at the helipad.

Due to terrain and altitude limitations at Yamunotri, Gangotri, and Kedarnath, only the best available non-star accommodations are provided at these three locations.

Occupancy Basis

All packages are priced on twin-sharing basis. A single-occupancy supplement of INR 45,000 applies for guests requiring a private room across all destinations.

Hotel Substitution

If a listed hotel is fully booked, UTS India reserves the right to substitute with a comparable or better property. Advance notice will be provided wherever possible.

Meals

All food served is 100% pure vegetarian. Meals are included as per the itinerary (all meals at each Dham; dinner in Dehradun; breakfast on the final day). Additional orders outside the plan are charged directly to passengers.

Flight Operations Policy

Helicopter assignments, timings, and routing procedures

Passenger Distribution

To maintain safe weight-and-balance in mountain aviation, UTS India reserves the right to redistribute passengers across different helicopters. Passengers in the same group may not always fly together. Once assigned, seating arrangements must be maintained for the entire journey.

Flight Timings

All departure times in the itinerary are approximate. Confirmed schedules will be shared one day before each flight leg. Passengers must report to the helipad at the communicated Estimated Time of Departure (ETD).

Additional nights due to weather or technical issues beyond the 5 nights included in the package will be charged directly to passengers. UTS India will assist with arrangements but is not financially responsible for such additional costs.

Kedarnath Sector

From Guptkashi/Sitapur to Kedarnath, passengers are divided across helicopters based on DGCA-mandated weight requirements. Flight timings between groups may differ for operational or technical reasons.

Health & Safety Guidelines

High-altitude pilgrimage requires physical and medical preparation

Altitude Advisory

Kedarnath (approx. 3,583m) and Badrinath (approx. 3,300m) are above 10,500 feet. Passengers β€” especially senior citizens β€” are strongly advised to carry portable oxygen bottles and consult a physician before travel.

Recommended Items to Carry

  • Warm woollen clothing suitable for cold and variable mountain temperatures
  • Waterproof raincoat or windproof jacket
  • Personal medications and a basic first-aid kit
  • Comfortable closed shoes or sneakers β€” slippers are not suitable
  • Comfortable kurtas or tracksuits for temple visits
  • Portable disposable oxygen bottles (strongly recommended for elderly pilgrims)

Mandatory Pre-Departure Briefing

All passengers must attend the evening briefing on the day of arrival in Dehradun. Weights are recorded and duffle bags distributed. Missing the briefing may impact your departure schedule.

Temple Photography

Mobile phones are permitted on temple premises. Photography inside the sanctum (garbha griha) is strictly prohibited at all four Dhams. Please follow the rules of the shrine committees.

VIP Darshan

All helicopter passengers are entitled to VIP Darshan from inside the temple. During periods of very high footfall, shrine administrations may restrict inner-sanctum access. Our staff will facilitate darshan from outside in such cases.

Passenger Conduct Policy

Behaviour standards for a safe, respectful, and spiritual journey

Right to Deny Boarding

UTS India and our aviation partners reserve the right to deny boarding to any passenger deemed unfit or unsafe to fly, including those who are:

  • Under the influence of alcohol or any intoxicating substance
  • Unruly, abusive, or threatening toward staff or co-passengers
  • Medically unfit to undertake high-altitude helicopter travel
  • Deemed mentally unfit or posing a risk to flight safety
No refund: Passengers denied boarding due to conduct or fitness will not be eligible for any refund of the package amount.

Punctuality is Mandatory

This is a fixed-departure tour. Helicopter slots cannot be held. Passengers who miss their scheduled departure due to tardiness forfeit their seat with no refund. Report to the helipad at least 30 minutes before the communicated ETD.

Respect at Religious Sites

All four Dhams are active and sacred places of worship. Passengers are expected to dress modestly, maintain decorum, and follow instructions from temple staff and shrine administration at all times.

What UTS India Is Responsible For

UTS India is responsible for all services explicitly stated in the package β€” helicopter transfers, listed hotel accommodation, included meals, local transport, darshan facilitation, and dedicated ground staff throughout the tour.

Costs Borne by Passengers

  • Meals, beverages, and snacks outside the included meal plan
  • Personal shopping, gratuities, and incidental expenses
  • Medical treatment or emergency evacuation costs
  • Additional nights caused by weather, technical issues, or personal circumstances
  • Any new sightseeing or activities beyond the original itinerary
  • Cost changes due to government levies, BKTC charges, or royalty revisions
  • All expenses arising from natural calamities, political events, strikes, or force majeure

Tax & Levy Adjustments

Any revision to applicable taxes (GST), government royalties, or BKTC charges after the booking date will result in a corresponding adjustment to the amount payable. Passengers will be notified in advance.

Travel Insurance: UTS India strongly recommends all passengers obtain comprehensive travel insurance covering medical emergencies, trip cancellation, and high-altitude evacuation prior to commencing the Yatra.
